Privacy Policy

BrainSite lets businesses and creators publish an AI agent that can answer questions, remember permitted context, qualify inquiries, and help book meetings. This policy explains how BrainSite handles personal information when you use our website, create an account, operate an agent, or talk to an agent.
1. Who is responsible
BrainSite is responsible for the personal information under its control. Privacy questions, access requests, corrections, deletion requests, and complaints can be sent to admin@brainsite.ai.
2. Information we collect
The information we collect depends on how you use BrainSite:
- Account information, including your name, email address, sign-in details, plan, and billing status.
- Agent content, including profile details, approved knowledge sources, links, instructions, and connected channels.
- Conversation information, including messages, contact details a visitor provides, summaries, lead status, booking requests, and handoff notes.
- Integration information, including account identifiers, permissions, calendar selections, and connection tokens needed to operate a service you connect.
- Transaction records and limited billing details from our payment processor. BrainSite does not receive full payment-card numbers.
- Technical information, including IP address, browser and device details, timestamps, referring pages, diagnostic logs, cookie identifiers, and usage events.
- Support and feedback records when you contact us or report a problem.
3. Why we use information
We use personal information to provide and secure BrainSite, run conversations and requested actions, maintain permitted conversation memory, process subscriptions and usage charges, connect owner-selected services, provide support, measure performance, prevent abuse, meet legal duties, and enforce our Terms.
We send marketing email or SMS only when we have the consent or other legal basis required for the message. Commercial messages identify the sender and include a working unsubscribe method.
4. Agent owners and visitors
A BrainSite owner decides what its agent asks visitors, which knowledge it uses, which integrations it connects, and how the owner follows up. The owner may have its own privacy duties and policy.
Do not submit health records, government identifiers, financial account credentials, passwords, or other sensitive information unless the agent clearly asks for it and you are satisfied with the owner's privacy practices.
5. When we share information
We disclose information only as needed to operate BrainSite:
- To the owner of the BrainSite agent you contact.
- To providers that host data, process AI requests, deliver messages, process payments, provide analytics, or support customers.
- To a calendar, CRM, messaging service, or other integration when an owner connects it or a visitor requests an action through it.
- To advisers, regulators, courts, law enforcement, or other parties when required by law or reasonably needed to protect rights, safety, and the service.
- As part of a financing, merger, acquisition, reorganization, or sale, subject to appropriate privacy protections.
Providers may process information outside your province or country, where local authorities may have lawful access.
6. AI processing
BrainSite sends conversation content and relevant approved context to AI providers so an agent can respond. AI output can be wrong. Owners must review their agent's knowledge and instructions, and visitors should confirm important information with the owner. We do not sell personal information.
7. Cookies and analytics
BrainSite may use cookies and similar storage for sign-in, security, preferences, and product measurement. Blocking cookies may stop account and agent features from working. If we add non-essential advertising or cross-site tracking, we will provide any notice and consent controls required by law.
8. Retention
We keep personal information only while needed for account operation, owner-configured memory, security, dispute handling, and legal or accounting duties. We delete or de-identify information when it is no longer needed, subject to backups and records we must keep.
9. Security
We use administrative, technical, and physical safeguards suited to the sensitivity of the information. No online service can guarantee absolute security. Contact admin@brainsite.ai if you believe an account or conversation has been exposed.
10. Your choices and rights
You may ask to access or correct personal information under BrainSite's control, withdraw consent where consent is the basis for processing, or ask us to delete information we no longer need. We may need to verify your identity, and legal limits may apply.
For records held by a specific agent owner, contact that owner first. You may also contact admin@brainsite.ai. If we do not resolve a Canadian privacy complaint, you may contact the Office of the Privacy Commissioner of Canada or the applicable provincial regulator.
11. Children
BrainSite is not directed to children under 13. We do not knowingly collect personal information from a child under 13 without the consent required by law.
12. Changes to this policy
We may update this policy when our product or legal duties change. We will post the revised version here, change the effective date, and give account owners additional notice when a change materially affects how we handle their information.
